This document outlines the Terms and Conditions for DEVOTION RGA LIMITED (“the Academy”, “we”, “us”, “our”) . By registering with our club, you agree to adhere to the policies and guidelines set forth below.
01. Safeguarding and Protecting Children
Devotion RGA adopts British Gymnastics’ Safeguarding and Compliance Policies. All our coaches are DBS checked to ensure a safe environment for all participants. Further information for parents and guardians can be found at British Gymnastics. Should you wish to raise or report a welfare concern, please contact our Club Welfare Officer at contact@devotionrg.co.uk / devotionrg@outlook.com or the Regional Welfare Officer at welfare@london-gymnastics.com.
02. Eligibility
All gymnasts under the age of 18 must be enrolled and supervised by a parent or legal guardian. The parent/guardian confirms they have legal authority to enter into this agreement on behalf of the child.
03. Registration & Membership
3.1. Registration Process
Registration must be completed via our online booking system (ClassForKids) before the first class.
All required information, including emergency contact details and any medical conditions, must be provided at the time of registration.
3.2. British Gymnastics Membership
As a condition of our affiliation with British Gymnastics, all Gymnasts are required to hold a valid British Gymnastics membership. British Gymnastics membership is compulsory, non-refundable, and must be maintained throughout the Gymnast’s participation. Membership fees are payable directly to British Gymnastics and are separate from Academy class fees. It is the Parent’s responsibility to ensure British Gymnastics membership remains current.
04. Trial Classes
We may offer free trial classes subject to class availability and capacity. Trial classes do not guarantee a permanent place in the class. Permanent enrollment is subject to space availability and completion of full registration. All Terms & Conditions apply to trial participants, including behaviour expectations and liability provisions.
05. Fees, Payments & Bookings
5.1. Payment Structure
- Class fees are charged monthly in advance via the ClassForKids booking platform.
- Monthly fees are calculated based on the number of sessions available during the current month.
- Fees must be paid in full by the due date specified on your invoice to secure your child’s place.
5.2. Payment Methods
- Payments are processed through ClassForKids using the payment method you have registered on the platform.
- It is your responsibility to ensure payment details are current and that sufficient funds are available.
5.3. Late or Non-Payment
- While we do not charge late payment fees, failure to pay by the due date may result in your child’s place being offered to participants on our waiting list.
- We reserve the right to suspend participation until outstanding fees are settled.
5.4. Changes to Fees
We reserve the right to change fees upon reasonable notice (minimum 30 days) via email or through the ClassForKids platform.
06. Cancellations, Missed Classes & Refunds
6.1 Missed Classes by Gymnast
- Fees are non-refundable and non-transferable for classes missed due to holidays, illness, personal commitments, or any reason on the Gymnast’s part.
- Make-up classes are not offered for missed sessions, as places are held exclusively for each enrolled Gymnast.
6.2 Extended Illness or Injury
- If your child will be absent for more than three (3) consecutive weeks due to illness or injury, you must notify us immediately in writing.
- With appropriate medical documentation (signed doctor’s note), we will hold your child’s place without requiring fee payment during the extended absence.
6.3 Leaving Mid-Month
- If you wish to withdraw your child from classes, you will be charged the full month’s fee for any month in which classes have commenced.
- Notice of withdrawal should be provided in writing via email before the start of the following month.
6.4 Classes Cancelled by the Academy
- If we cancel a class due to unforeseen circumstances (staff illness, facility closure, etc.), we will offer a replacement class at an alternative time where possible.
- If a replacement class cannot be arranged, we will provide account credit or, at our discretion, a refund for the cancelled session.
07. Health, Medical & Safety
Parents/guardians are encouraged to disclose any medical conditions, injuries, allergies, or special requirements that may affect participation. This information helps us ensure the safety and wellbeing of the child. Our coaches are authorised to administer basic first aid where necessary and to seek emergency medical assistance if required. Rhythmic gymnastics involves inherent physical risks. While we implement comprehensive safety measures and supervision, you acknowledge that participation carries a risk of injury. You confirm that your child is in good health and physically capable of participating in rhythmic gymnastics training.
08. Parent/Guardian Obligations
To help us provide the best and safest experience for your child, we ask that you:

Stay Updated: Please keep your contact details and your child’s medical information current on ClassForKids so we can always reach you in an emergency.

Be On Time: Punctuality is key for safety! The warm-up is essential to prevent injury, so late arrivals may unfortunately miss out on the session.

Supervise Before & After: Please look after your child until their class begins and immediately after it ends. This includes supervision in the changing rooms, reception, and toilets (as our coaches cannot accompany children to the bathroom).

Dress for Success: Ensure your child arrives in the correct uniform with all jewellery removed for their safety.

Respect the Training Space: To keep the gymnasts focused, please remain in the waiting area. If you’d like to speak with a coach, just contact management to arrange a convenient time.

Support Our Coaches: We ask that you respect the professional judgment of our staff regarding your child’s progress, safety and behaviour.

Keep Us in the Loop: Please let us know in writing if your child plans to train or trial at another gymnastics club.

Manage Payments: Ensure all fees are settled on time via the ClassForKids platform to secure your child’s place.
09. Gymnasts
As a member of Devotion RGA, gymnasts agree to follow these guidelines to ensure a safe and positive environment for everyone:
Punctuality: Please arrive on time and ready to start. The warm-up is a vital part of training that helps prevent injuries.
Following Instructions: Always listen carefully to your coaches. For your safety, only perform the skills and exercises your coach has instructed you to do.
Respect for All: Treat your coaches, fellow gymnasts and Academy staff with kindness. Rudeness, insults, bullying or any form of discrimination or abuse are strictly prohibited and may result in the immediate termination of your membership.
Safety & Security: To keep everyone safe, gymnasts must never leave the training hall or the premises without express permission from a coach.
Care of Facilities: Please be respectful of the club’s equipment and the venue. Gymnasts should behave appropriately at all times—before, during and after their session.
Food & Drink: Only water bottles are permitted and are even encouraged in the training hall. Food, fizzy drinks, sweets, and chewing gum are not allowed.
Personal Belongings: Please store your items neatly. We recommend leaving valuable items at home, as the Academy cannot be held responsible for any loss or damage to personal property.
Our Standards: Devotion RGA adopts the British Gymnastics Child Protection Policy and operates as an equal opportunity club with a zero-tolerance approach to bullying.
10. Hair, Clothing and Equipment
All hair must be tied back neatly, preferably in a bun and all jewellery must be removed prior to class.
All gymnasts must wear the Devotion RGA uniform. It is compulsory for the Devotion RGA t-shirt or leotard to be worn with black leggings/shorts and white socks/gym shoes to all training sessions. Uniforms must be purchased upon joining the club.
Prior to this, any leotard/t-shirt with leggings/shorts that allows freedom of movement while at the same time not being too open or loose for safety and performance reasons may be worn.
All gymnasts may borrow apparatus from the Academy. Using personal apparatus is allowed and even recommended for advanced gymnasts.
11. Coach Obligations
Our coaching team is dedicated to providing a high-quality experience in a supportive environment. You can expect that:
- Qualified & Safe:All our coaches are DBS checked, fully insured, and hold recognized qualifications to ensure your child is in expert hands.
- Safety First:We always put your child’s well-being above performance. Every activity is carefully planned to match their age, ability, and experience.
- Hands-on Support:Coaches use British Gymnastics-approved supporting techniques to safely guide gymnasts through new movements and positions.
- Focus & Discipline:Because safety requires focus, coaches may use verbal guidance or ask a gymnast to sit out briefly if rules aren’t being followed. This helps us minimize risks and keep the gym a happy place for everyone.
- Professional Care:We follow strict British Gymnastics guidelines for reporting any incidents or concerns, ensuring your child’s protection is our top priority.
12. Photography, Video and Media
We may take photographs and videos during training sessions, events, competitions, and camps for the following purposes:
- Promotional use (website, social media, marketing materials)
- Coaching feedback and skill development
- Documentation of Gymnast progress
You have the right to:
- Withhold consent entirely
- Consent to some uses but not others
- Withdraw consent at any time by contacting us in writing
13. Competitions, Camps & Travel
Participation in competitions and camps may require additional consent. Travel and accommodation arrangements may be organised mutually between the Academy and parents/guardians. Supervision responsibilities will be communicated in advance for each event.
14. Complaints
If anyone wants to make a complaint regarding any aspect of the club they should, in the first instance, contact the Club Management. If you have any issues with our services please contact the club via email: contact@devotionrg.co.uk
If the complainer feels that the complaint has not been dealt with in a satisfactory manner, they should then approach the club welfare officer: devotionrg@outlook.com
If the solution is not to the satisfaction of the complainer, they may wish to take their complaint to British Gymnastics with whom the club is registered.
15. Changes to Terms
We reserve the right to update these Terms & Conditions at any time. Updated versions will be published.
